How to use PracticeOak

Watch the 4-minute walkthrough, then follow the steps below. Most practices are set up in under 10 minutes.

01Set up your practice

Create a free account and answer a few questions about your practice: its name, your profession and your timezone. That gives you your own booking page right away.

Then set your business hours under Settings → Hours, so patients only see times you are actually available. You can invite receptionists and other doctors from Settings → Team.

02Add your services

Under Services, add what patients come in for, such as “Consultation, 15 min” or “Root canal consultation, 30 min”, with an optional price. The order you set is the order patients see.

The same list appears on your booking page and when patients take a token at the clinic, so reception always knows what each visit is for.

04Print your QR posters

Under Booking widget (booking poster) or Settings → Queue & payments (queue poster), preview your posters and download them as an A4 or A5 PDF for printing, a high-resolution PNG, or a square image to share on WhatsApp.

Stick the queue poster at reception and the booking poster on the door or on your visiting cards. Each poster shows your clinic name, simple steps and a short link for anyone who can’t scan.

05Run the token queue

Turn on the queue in Settings → Queue & payments and set a daily token limit and your average minutes per patient. Walk-ins scan the queue poster, choose what the visit is for, and get a token with a live page showing who is being seen and how many people are ahead.

Reception runs everything from the Queue screen: call the next token, skip or mark a no-show, add a walk-in by hand, and pause or close the queue for the day. The token queue is included on Starter and above.

06Collect UPI booking fees

Add your UPI ID and a booking fee in Settings → Queue & payments. Patients then see a “Pay with any UPI app” button after taking a token or booking online, and the money goes straight to your bank. PracticeOak never holds it and takes no commission.

When the payment arrives, reception taps “Mark paid” and the patient’s page shows “Payment received”. Patients are reminded not to pay twice while the clinic checks.
