🎟️ Feature · QR token queue

A QR token queue that empties your waiting room

Patients scan a QR at reception, get a token number and follow a live “Now serving” page on their phone, so they can wait outside or nearby instead of crowding the front desk.

Most Indian OPDs, dental clinics and physio centres already run on token numbers, written in a register or called out by the receptionist. PracticeOak keeps that familiar system and puts it on the patient’s phone. There is no machine to buy, no app for patients to install and no hardware to set up.

A patient scans your clinic’s QR, enters their name and mobile number, and gets a token number with a link to a live status page. The page shows which token is being seen now, how many people are ahead and a rough wait time based on your average minutes per patient. It updates on its own, so nobody needs to ask reception “how much longer?”.

Reception runs the queue from one screen: call the next token, skip or mark a no-show, add a walk-in by hand in seconds, and pause or close the queue when the doctor is delayed. If you charge a booking fee, patients can pay it by UPI straight to your own account, and reception marks it paid.

Why clinics switch from the paper register

  • A calmer waiting room

Patients can see their place in the queue from anywhere, so they arrive when their turn is close instead of waiting for hours at reception.

  • Fewer “how much longer?” questions

The live page answers it for them: now serving, people ahead and an estimated wait.

  • No hardware, no app

Print one QR. Patients use their own phone’s camera and browser. Reception uses the PracticeOak dashboard on any phone or computer.

  • Booking fees without a gateway

Optionally collect a fee by UPI straight to your own UPI ID. PracticeOak never holds the money and takes no commission.

How it works

01

Turn on the queue

Set a daily token limit and your average minutes per patient in settings, then print your clinic’s QR for the reception desk.

02

Patients scan and take a token

They enter their name and mobile and get a token number with a live status page. Walk-ins without a smartphone can be added by reception.

03

Reception calls the next token

One tap calls the next patient and updates every phone. Skip, mark no-shows, pause or close the queue as the day goes.

Questions, answered

The QR token queue is included on Starter (₹999/month), Pro and Business. Every paid plan starts with a 14-day free trial, no card required.

No. Patients scan the QR with their phone camera and the token page opens in their browser. There is nothing to download and no account to create.

Reception can add any walk-in to the queue by name in a couple of taps, so the token order stays fair for everyone.

It multiplies the number of patients ahead by the average minutes per patient you set. It is a guide, not a promise, and it updates every time reception calls the next token.

Yes, if you add your UPI ID and a fee. The token page shows a “Pay with any UPI app” button, the money goes straight to your bank account, and reception marks it paid when it arrives.

Yes. Many clinics take booked appointments for some hours and walk-in tokens for others. Both show up in the same PracticeOak dashboard.
